Field operations
From paper tally to a vehicle record you can use
Plan a vehicle tally pilot around VIN identity, condition evidence and an explicit field-to-office update. A practical checklist for operations teams.
A vehicle list, a condition photograph and a signed handover can all describe the same vehicle without being easy to find together. Moving a tally from paper to a screen is useful only if the office can identify the unit, understand the work recorded and retrieve the relevant evidence. Start the evaluation there.
Choose one handover to improve
Use a defined operation: receiving a carrier at a depot, recording a dealer transfer or tallying an assigned terminal consignment. List who prepares the vehicles, who captures the work and who reviews the result. Agree which records the receiving team actually needs before configuring fields.
- The vehicle identifier and the consignment it belongs to.
- The configured operation steps the field team must complete.
- The condition observations, photographs or signatures required for this handover.
- The person who reviews incomplete work and exceptions.
Separate identification from evidence
Scanning a VIN identifies a vehicle; it does not by itself prove its condition or that a handover was accepted. In The Stevedoring App, configured operations and inspections describe the work to record. Review a completed example with the office team so that everyone understands what a recording does—and does not—establish.
Do not make a damaged-vehicle observation stand in for a liability decision. Keep the evidence available for the people responsible for that assessment, with the access and sharing arrangements your organisation permits.
Test the offline boundary on the actual device
- Prepare and download the assigned work while connected.
- Use the intended device to identify vehicles and record the configured steps without a connection.
- Include an identifier that is not in the downloaded assignment and inspect the response.
- Reconnect and have the operator press Update now to send saved work and refresh assignments.
- Check the received records and inspection report in the office before calling the exercise complete.
Mobile work saved locally is not yet evidence that the server has received it. Do not assume every web screen works offline or that reconnection automatically sends the work. Include the shift handover and the update responsibility in the pilot, not just the scanning demonstration.
Agree what a useful result looks like
Choose checks that your team can observe: can the reviewer find a particular vehicle, distinguish the configured steps, open the required inspection evidence and identify records still needing attention? If you want to measure time or repeated entry, agree the starting point and measure both processes under comparable conditions. There is no universal scan-time or savings figure to substitute for that work.
Bring a small example to the demo
Bring an anonymised vehicle list, a blank inspection form and an example of the report the office expects. Describe the device models and where connectivity drops. That is enough to frame a focused discussion about configuration, training, access and a bounded pilot; customer records are not needed in the enquiry form.
Questions to clarify
Is this a car transport booking service?
No. The Stevedoring App is software for teams handling vehicles. It does not provide a carrier quote or arrange a vehicle move.
Does saved field work upload automatically?
No. For downloaded mobile assignments, the operator uses Update now while connected to send saved work and refresh assignments.
